It Starts with Systems Innovation
The success of any technology setting lies in the systems, networking capabilities and overall reliability of its “back-office” function. We work closely with some of the country’s top vendors to maintain a computing platform that is at the pinnacle of reliability and performance. This set-up combines Microsoft operating systems with EMC and HP software, and makes us the first law firm to incorporate Virtual Machine solutions (VMWare) into production computing. These virtual machines create a stable, flexible and powerful foundation that can accommodate new technologies as we add them.
Knowledge Management: A Law Firm’s Best Friend
Our litigation support philosophy differs from that of other firms in that we “capture” information about our documents during the normal workflow process, rather than ask people to code their documents after the fact. Greenberg Traurig was one of the first adopters of WestKM™ software, used to index and organize millions of documents for easy retrieval. We have continued this trend by reviewing and utilizing software that allows our attorneys to quickly search and find relevant work product created throughout the firm.
The Power of eDiscovery
We have sophisticated capabilities in Electronic Discovery, or eDiscovery. GT has a separate practice group specializing in eDiscovery and eRetention, coordinating the legal, as well as practical, issues inherent in these areas. Our eDiscovery processes gather electronic files in multiple formats, on a variety of media; cull redundant or superfluous records; and convert the remaining files into TIFF, PDF or keep them in native file format. These formats can be loaded directly into an online repository or a desktop litigation support software system. An industrial-strength database such as Summation SSE or Concordance can store the eDiscovery and case documents so that our attorneys can search literally millions of documents per case. We also have data forensic experts on staff to assist with issues related to data collection and preservation.
Other Knowledge Management Initiatives
Our Intranet and document management programs include ultra-advanced search and organizational capabilities. Thanks to our in-house development we are able to combine diverse sources of information into single views that are easily accessible by anyone in the firm. This allows our attorneys and professionals desktop access to tremendous amounts of information, collected from multiple sources, in an easy browser format.
World Class Software Development, On Staff
Our internal software engineering and development staff is truly second to none. Our programmers are not afraid to get “under the hood” to tweak or replace outdated software. What’s more, if a problem occurs and there is no known software to correct it, our talented engineers are capable of innovating and creating new solutions. One example is LawDRILL.NET™ (marketed by a wholly-owned subsidiary called Taladro Systems, LLP), now widely used by other large law firms.
eRooms vs. E-mails? No Contest
Electronic meeting rooms, or eRooms, help our attorneys work more smoothly and efficiently with clients. We’ve created more than 500 secure eRooms on the Internet, so that clients and attorneys from around the corner or around the world can “meet” and easily exchange and edit documents, conduct meetings, manage calendars and more. This system helps our attorneys build, manage and share all case information in real time between all parties – allowing the collaboration that makes all our offices stronger and all our clients more successful.
Getting Un-wired for Success
Currently, we are integrating “hotspots” in every office to allow wireless (802.11) access. Some offices will have full coverage throughout, while others will have designated locations based on facility space. These wireless services offer our clients and guests full and instant access to the Internet from any designated location.
BlackBerries® Everywhere
Greenberg Traurig was one of the first large firms to adopt the BlackBerry® unit as a standard. In our ongoing effort to keep our attorneys up-to-date with the best available technology, we have already distributed the fourth generation of this highly effective technology. Every attorney carries the BlackBerry® model of his/her choosing to stay in touch with our offices and clients. Every Greenberg Traurig office has its own BlackBerry® server to ensure accurate, mission-critical messaging.
Microsoft Reliability
Since 1994, our offices have been standardized with a Microsoft platform and Microsoft products that are highly compatible with other computer systems. Making sure all client-attorney communication is seamless, instantaneous and reliable is our goal.
Distributed Resources and Capabilities
To maximize our attorneys’ best efforts, all of our offices across the U.S. are uniformly outfitted with a fully staffed tech support team and the most state-of-the-art equipment. “Loaner” equipment is available for highly mobile lawyers, and redundant support is available through our International Tech Support center.
Disaster Recovery and Redundancy Create Peace of Mind
Greenberg Traurig has heavily invested in system redundancy and a disaster recovery plan that works. In fact, this plan is integral to the firm’s system design and every aspect of our computing platform. The core computing functionality is housed in our off-site secure data center in an extremely secure and reliable location. All data that resides in each of our locations is replicated through our Wide Area Network to our EMC storage system at the data center. Should an unforeseen event affect an office, our virtual computing set-up will have a “virtual office” running as quickly as one hour later. We can operate an office in virtual mode for as long as is necessary.
Webinars and Video Conferencing
Webinars (web meetings) and video conferencing technology are tools that facilitate communication between multiple GT offices, as well as clients. Each year, thousands of meetings are conducted through our private network using web meeting technology, which incorporates audio and video to bring people “face to face” from thousands of miles away. We tap this technology to conduct department meetings, perform technical training, collaborate on client issues – anything. While this technology is most often used in-house, it can also be used to communicate with our clients and other firms. GT also utilizes state of the art video conferencing capabilities, with standardized protocols, so that we can connect with our clients' video conferencing solutions throughout the world. |
